JOB TITLE: Education Office Professional (Financial) - Level II

 

REPORTS TO: Building Principal 

 

FLSA: Non-Exempt

POSITION PURPOSE/SUMMARY 

To provide the necessary clerical responsibilities associated with the finances of the school building to ensure the smooth, efficient operation of the school office.

 

QUALIFICATION REQUIREMENTS 

Education Office Professional (Financial) - Level II shall have a minimum of a high school diploma or its equivalent, a high level of competence in clerical skills as demonstrated by the District’s skills assessments, and proficiency in Microsoft Office, Microsoft Excel and Google Office Suite. An Education Office Professional with payroll and/or accounting experience is preferred.

 

ESSENTIAL DUTIES 

  1. Accurately prepare payroll for the District Payroll Department, including all paperwork and record-keeping approvals by the building administration.
  2. Accurately process all bank deposits, monies turned in for fundraisers, parking, student IDs, field trips, etc.
  3. Keep all records on all financial statements (i.e. balance on enterprise accounts, clubs, etc.).
  4. Process all purchase orders and vouchers for payment.
  5. Coordinate with the principal in ordering all equipment, books, supplies, etc.
  6. Work with the appropriate department on all leased equipment to ensure maintenance and operation (i.e., Xerox equipment, postage meters, etc.)
  7. Verify all inventory, including recording any new inventory purchased in an organized manner.
  8. Complete authorized Out of District forms for professional staff.
  9. Accurately manage the Accounts Payable for the building.
  10. Maintain confidentiality of all school-related matters.

 

MIDDLE SCHOOL ONLY

  1. Maintain all support staff substitutes daily as needed.
  2. Utilize district software and maintain communication with the HR Generalist to report on and fill positions due to vacancies or absences. 
  3. Maintain all substitute timesheets.
  4. Coordinate with HR Generalist regarding absences that occur after the start of the school day.
  5. Pre-arrange future absences with substitutes and the HR Generalist.

 

ADDITIONAL DUTIES 

  1. Effectively communicate, verbally and in written form, with administrators, staff, and the community as needed.
  2. Assist other Education Office Professionals as needed to ensure building success.
  3. Perform other duties as assigned by the assistant principal and/or building principal.
  4. Operate office machinery.

PHYSICAL DEMANDS

While performing the duties of this position, an employee is regularly required to sit, talk, and hear.  The employee is frequently required to walk and use fingers and controls.  The employee is occasionally required to stand, reach,  bend, lift, and carry up to ten pounds.  Close vision ability to look at a computer screen for long periods is required.

TERMS OF EMPLOYMENT 

Employment will be on an at-will basis for 12 months with two weeks vacation, beginning July 1, or from the time of employment for the duration of the school year with prorated vacation and/or personal leave. Each Education Office Professional (Financial) will be provided a work calendar showing the specific daily work schedule of the employee. The work calendar may be modified by the Board of Education at any time, as needs dictate.

 

Eight hours will constitute a workday. The Chief Human Resources Officer will establish a definite daily schedule.

 

The yearly salary will be disbursed in twenty-four (24) equal payments.

 

EVALUATION

Performance of this job will be evaluated annually in accordance with the provisions of the Board’s policy on evaluation of support staff personnel.
