JOB TITLE: Coordinator of Student Information 

 

REPORTS TO: Executive Director of Technology

POSITION PURPOSE/SUMMARY 

To oversee the orderly operation of the district’s student information management systems and procedures related to student administration.

 

QUALIFICATION REQUIREMENTS

The Coordinator of Student Information shall have a high level of competence and experience in computer technology and operations and shall have experience in managing information systems.

 

ESSENTIAL DUTIES

  1. Serve as lead contact for the district’s Student Information System.
  2. Coordinate initiatives, telephone support, training, documentation, and assistance as needed.
  3. Coordinate the processing of the district’s computerized student administration system to include census, attendance, scheduling, grade reporting, progress reporting, transportation information, and database maintenance. 
  4. Coordinate district procedure documentation and required timelines for scheduling, grade reporting, mid-term progress reporting, and average daily attendance (ADA) reporting.
  5. Work cooperatively with district programmers and the contracted vendor for School Information systems.
  6. Provide organized documentation of reports and reporting practices for all attendance areas to district auditors for the purpose of auditing funds received on reported attendance hours. 
  7. Ensure accuracy of MOSIS state reports in regard to calculated attendance hours, race calculations, student enrollment, and membership counts, transfer and drop student information, and enrollment analysis. 
  8. Keep building personnel informed of issues related to the department as applicable, including but not limited to, principals, counselors, guidance office clerks, attendance office clerks, and the transportation department.
  9. Coordinate and assist all buildings with the preparation of Student Data Records for permanent storage. 
  10. Coordinate and work with district photographers to provide data for pictures and photo IDs for faculty, staff, and students and input those pictures.
  11. Serve as the District’s MOSIS Coordinator to ensure that the program and reporting are consistent with state-mandated criteria.
  12. Make recommendations for changes to improve the accuracy of student data and performance of the District’s selected Student Information System.
  13. Collaborate with peers in other Missouri districts to ensure Fort Zumwalt is adhering to best practices.
  14. Compile required data and prepare reports for Office for Civil Rights or other outside agencies as requested.

 

ADDITIONAL  DUTIES 

  1. Effectively communicate, in both verbal and written form, with administrators, staff, and the community as needed.
  2. Order student data processing supplies in quantity, district-wide, whenever possible to reduce the cost factor of individual purchases by building.
  3. Provide technical assistance as needed to other district departments. 
  4. All other duties as assigned by the Superintendent or his/her designee.
  5. Maintain confidentiality of all student and staff-related information.
  6. In coordination with other members of the IT Staff, develop and maintain a plan to keep Student Information secure throughout the district.
  7. Serve as the District’s Custodian of Records.
  8. Participate as a member of the District IT Team.
  9. Accomplish organization goals by accepting ownership for accomplishing new and different requests; exploring opportunities to add value to job accomplishments.

PHYSICAL DEMANDS

While performing the duties of this position an employee is regularly required to sit, talk, and hear.  Close vision ability to look at a computer screen for long periods is required.

TERMS OF EMPLOYMENT 

Employment will be on an at-will basis for 12 months with two weeks’ vacation, beginning July 1, or from the time of employment for the duration of the school year with prorated vacation leave. The Coordinator of Student Information Systems will be provided a work calendar showing the specific daily work schedule of the employee. The work calendar may be modified by the Board of Education at any time, as needs dictate. 

Eight hours will constitute a workday. The Assistant Superintendent of Personnel will establish a definite daily schedule. The yearly salary will be disbursed in twenty-four (24) equal payments. 

 

EVALUATION

End of the year performance evaluations will occur annually following the provisions of the Board's policy on evaluation of support staff personnel.
